Structure and Functions of the Examination and Assessment Council
Overview
The Examination Committee is a key body within the University, led by the Vice Chancellor and supported by three divisions: Examination, Assessment, and Record Maintenance. Its primary responsibilities include conducting examinations, publishing results, and awarding certificates to students who successfully complete their final examinations. Additionally, the Committee maintains comprehensive records related to examinations and organizes workshops and seminars aimed at enhancing the examination system.
Objective
To manage all aspects of Internal and External Assessment Examinations in accordance with University notifications and regulations.
Roles and Responsibilities
- The Exam Cell distributes exam forms to regular students and collects completed forms for verification within the designated timeframe.
- Notices will be issued to students regarding the collection and submission deadlines for exam forms.
- The Examination Committee is responsible for preparing relevant timetables for university examinations.
- It will organize block and seating arrangements, which will be displayed on the relevant notice boards and website.
- Although eligible teaching faculty may take vacation, they are expected to be available for examination duties for at least two weeks and must submit their preferred vacation dates in the specified format.
- The Committee will prepare and post an overall Supervision Duty List and a Daily Supervision Duty List on the notice board.
- The Committee ensures the availability of necessary stationery, including answer sheets, drawing sheets, charts, and other materials.
- A pre-exam meeting will be held to brief faculty members on examination procedures and the responsibilities of invigilators, observers, and other staff.
- In consultation with the Chief of Examinations (COE), the Exam Cell will contact panel members to prepare a list of available examiners.
- Results for all years will be posted on the university websites.
- Under COE guidance, the Exam Cell will analyze exam results, which will be verified by the examination cell members before distributing result analyses to the appropriate university officials.
- Responsibilities also include ensuring the smooth conduct of examinations, preparing timetables, invigilation duty charts, and seat allocations in exam halls.
- The Committee will ensure timely submission of all exam-related documents to the university.
- Internal assessments will be conducted according to the academic calendar.
- After receiving results from the university, marks lists will be distributed to students.
- Any circulars, guidelines, office orders, or notifications from the University will be processed by the Examination Cell, with responses prepared for the COE's signature before being dispatched or circulated to relevant departments and students.
